EDF Annual General Assembly 2025 and associated meetings,
The European Disability Forum’s Annual General Assembly will be held on 21 and 22th of June in Vilnius in cooperation with Lithuanian Disability Forum (LNF).
During the General Assembly elections will take place to fill in three vacant places in the EDF Board.
Nominate your delegates or representatives for the EDF General Assembly 2025
In accordance with EDF Statutes and Internal rules, National Councils, Full and Ordinary NGOs are invited to propose delegates to the Annual General Assembly. You have already received a nomination form in a separate email. In case you haven’t received it, please contact Loredana Dicsi.
The Member organisations from these categories need to fill in the form below that is meant for their Membership category and send it back to EDF Secretariat by 11th March 2024. Please, note that these forms must be completed and signed by the legal representative of the Organisation.

- Each Observer members can nominate one representative.

Voting Procedure for the elections in 2025
Who can vote?
Officially nominated delegates and the elected EDF Board members coming from National Councils and European NGO full members are entitled to vote.
How does this happen?
This year we will re-use the same electronic voting system Choice Voting for all delegates . Through this platform all official delegates entitled to vote, will receive an e-mail with a personalised link valid for the duration of the voting.
We will provide more information and clear instructions closer to the election date.
When will I vote?
The voting will take place during the General assembly on June 21st

- 2 Board members from National Councils
- 1 Board member from European NGOs full members

Summary of Deadlines
Below you find listed the most important dates with the expected action form the delegates or from the EDF Secretariat.
- 21st April To send nomination of delegates
- 28th April Deadline to fill in online registration
- 20th May Deadline to send application for internal auditors
- 20th May To submit proposals for resolutions
- 20th May To send to the Secretariat items to be added to the agenda
- 27th May To send to the Secretariat amendments to proposals for resolutions

Travel & Accomodation
All participants and delegates are invited to make their own travel arrangements upon registration.
We would like to remind you to buy economy tickets where possible. EDF will cover a maximum of 400 euros for flight tickets. In case you exceed this amount, please contact the EDF Secretariat for agreement before confirming your flights.
Hotel expenses will be paid directly by EDF on a bed and breakfast basis for all delegates and their personal assistants as explained above. Extra costs including telephone, mini-bar and other individual services will be in charge of delegates.
Lunch will be provided during the meetings. On Friday, lunch is foreseen for Board and Executive members only. Other meal costs will be reimbursed separately on the basis of real costs.
The reimbursement of expenses for delegates and their personal assistants will be made in line with EDF Guidelines which were adopted at the Board meeting in June 1998 (on the basis of real costs). Expense claim forms and reimbursement guidelines will be sent in the AGA documents.
Please send your expense claim forms including invoices, bills, boarding passes, train tickets etc. by email (please scan all your documents in a one single PDF document including the reimbursement claim as a cover page) to Person to add not later than one month after the meeting. Please note that reimbursement requests received after 21st September 2025 cannot be considered.
Interpretation & Translation
Simultaneous interpretation will be provided in English, Lithuanian during the conference, and French. The event will also provide International sign interpretation and real-time captioning in English. Mo rover, the documents will be avialable in English and French under the Documents section.
