EDF is recruiting an Executive Assistant to support the mandate of the UN Special Rapporteur on the Rights of Persons with Disabilities (UN SR) starting in January 2023.

Gerard Quinn was appointed the UN Special Rapporteur on the rights of persons with disabilities in October 2020. His mandate aims to strengthen efforts to recognize, promote, implement and monitor the rights of persons with disabilities from a human rights-based approach, in line with the Convention of the Rights of Persons with Disabilities and the broader UN human rights framework.

We are seeking a flexible, committed and highly organized team member for our secretariat based in Brussels. The Executive Assistant will be expected to work very proactively with the UN Special Rapporteur especially in planning engagements and tasks and avoiding over-scheduling.  S/he will be a key team memner and must take a proactive posture in organising and managing events and external commitments.  Good communication skills are essential.  You will also liaise closely with other key team members based in the UN OHCHR (Geneva) and external researchers.

They will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of the UN SR. You may also be required to make travel arrangements and assist with other duties when required. We are looking for someone who is intuitive to the needs of the UN SR and works autonomously to provide customized administrative support to the UN SR.

Tasks include:

  1. Provide general support to UN Special Rapporteur on the Rights of Persons with Disabilities (UNSR) and liaising with UN SR key partners and stakeholders.
  2. Organise the agenda proactively and schedule relevant meetings.
  3. Manage the UNSR email inbox (action, response, follow up).
  4. Ensure reimbursement process with EDF colleagues.
  5. Schedule, communicate and attend weekly meeting/catch up with UNSR. Keep records of these weekly meetings.
  6. Share team meeting agenda (inputs from the team by Monday evening).
  7. Take minutes of meetings (including team meeting).
  8. Create and organise folders with the main documents of the UN SR.
  9. Ensure appropriate communication with the UN SR key stakeholders in the UN, human rights, and the disability movement.
  10. Maintain and add to the data base of contacts (regional, national and global OPDs, international partner and institutions).
  11. Organize, run, and participate in accessible online and face to face trainings, meetings and events.
  12. Make travel arrangements for the UN SR.
  13. Have a good overview of the administrative requirements of the donors.

 

This is not an exhaustive list of the duties and responsibilities and may be varied as appropriate to your secondment following prior consultation with you.

Desirable skills and experience

  1. At least 2 years work experience as executive assistant or similar experience.
  2. Experience in running accessible online and face to face trainings, meetings and events.
  3. Experience in the disability movement and/or working with the UN system.
  4. Excellent English – able to draft agendas, minutes and reports.
  5. Language and written skills in other UN languages is an advantage.
  6. Ability to work independently, proactively and in a flexible manner.
  7. Ability to structure, organise and follow up data and emails.
  8. Ability to prioritise and to respond in a timely way for urgent request for support.
  9. Experience in handling confidential information.

The postholder must have a right to live and work in the EU. EDF is based in Brussels.

The position is based in Brussels, with a gross salary of 2971 Euros/monthly + benefits (lunch vouchers, pension scheme, hospitalisation insurance, transport costs reimbursed).
