We are opening a call for tenders to provide real-time captioning in English during the European Accessibility Summit. The event will take place in full hybrid format in Brussels and Online, 14 October 2025 from 09:00 to 17:30 CET (Brussels time).

Requirements

• Provide real-time captioning in English during the whole duration of the event, plus 2 hours (estimated time) for ‘dry run’s in advance of the event, and 30 mins of set-up on the same day of the event. Indicate the number of captioners needed for the whole duration.
• Provide embedding of the subtitles into the online platform Microsoft Teams as well as an external link with the real-time captions that will allow participants to follow the text in full screen and customize size and font.
• Provide automatic translation of the captions into other languages apart from English, available through the external link. Indicate if discounts will be applied depending on the number of languages requested.
• Provide a corrected and edited version of the raw transcript and deliver a timed .SRT file to embed on the recording.

Submission Details

We would like to receive two separate quotes for the requirements above: one for in-person captioning services and one for remote captioning services.
